Booking Agreement & Terms and Conditions

Registry Travel LLC, an independent affiliate of MavenLuxe Travel, is a boutique travel advisory specializing in high-touch, intentional, and immersive travel experiences. The terms “we,” “us,” or “Registry Travel” refer to Registry Travel LLC. The terms “you” or “traveler” refer to the client and all members of their travel party who engage our services.

By engaging our services and paying a planning or research fee, you agree to be bound by these Terms and Conditions, any additional documentation provided, and applicable supplier terms. This Agreement includes important legal provisions, including liability limitations and governing law. Please read carefully; if you do not agree, you should not proceed with booking.

These Terms may be updated periodically. Material changes will be communicated, and your continued use of our services constitutes acceptance of the updated terms.

1. Representations & Warranties

  • You represent and warrant that:
  • You are of legal age and authorized to enter this agreement.
  • You are acting on behalf of all travelers included in the booking.
  • All information provided to us is accurate and complete.

2. Research & Design Fee

Our high-touch, fully customized planning requires extensive consultation, research, and logistical support. To cover this, Registry Travel charges a non-refundable Research & Design Fee, separate from supplier costs. This fee reflects the value of professional guidance, itinerary design, and concierge-level support.

  • Inclusions based on the service package selected, which may vary based on trip complexity


Client Responsibility:

Registry Travel is committed to assisting with your travel plans; however, this requires timely input and engagement from our clients. If no response is received after three contact attempts or 30 days since last contact, Registry Travel reserves the right to declare your Research & Design Fee null and void and may assess a re-engagement fee, the amount of which will be determined at that time.
Registry Travel’s Research & Design fees are based on the service package selected and the complexity of the trip, as determined during the initial consultation call or email. We take on a limited number of trips each year to ensure the highest level of service, which is reflected in the time we dedicate to each itinerary. Please note that if there are last-minute changes, extended timelines, or other delays, an additional hourly fee may be applied, with the amount determined at that time.

3. Pricing

  • Quotes are valid at the time requested and may be subject to fluctuations in exchange rates, supplier fees, and fuel surcharges.
  • Many of our preferred suppliers offer exclusive rates; itemized pricing may not be provided to honor confidentiality.
  • We work only with trusted providers whose services reflect quality, value, and seamless execution.

4. Booking & Payment

Confirmation
: Your trip is confirmed once your initial deposit is received. Some suppliers may require full payment at booking.
Deposits: Non-refundable unless otherwise stated in supplier policies.
Final Payment: Due 60 days prior to departure, unless otherwise noted. Bookings made within 60 days of travel require immediate full payment. Late payments may incur a $25 per-person fee.
Cancellation Fee: Cancellations made within 60 days of travel are subject to a $200 per traveler administrative fee in addition to any supplier penalties.

Payment Methods:

  • Credit card (3% fee), Zelle, check, or wire
  • Secure authorization may be required for processing payments on your behalf

Rates are not locked until payment is processed. You are responsible for reviewing documentation for accuracy, including ensuring traveler names match government-issued IDs exactly.

5. Scope of Services

Registry Travel acts solely as your agent in arranging travel services (flights, hotels, tours, transfers, experiences) with third-party suppliers. We do not own or operate these services. All interactions with suppliers are at your own risk and subject to their terms.

6. Cancellations & Changes

Amendments
: $25 fee per change to confirmed land arrangements; some elements (like airfare) may be non-changeable.

Voluntary Cancellations
: Must be submitted in writing. Subject to supplier penalties plus any applicable Registry Travel cancellation fees.

Refunds
: Issued after supplier refunds are received and administrative fees applied; may take up to six weeks.

Force Majeure
: No refunds for events beyond our control, including acts of God, government actions, natural disasters, pandemics, or terrorism.

7. Travel Insurance

We strongly recommend purchasing a Travel Protection Plan covering Trip Cancellation, Medical, and Cancel for Any Reason (CFAR) benefits. Declining insurance may result in complete loss of your investment. We are not a licensed insurance provider; please consult your insurer for coverage specifics.

8. Documentation

Travelers are responsible for passports, visas, vaccinations, and testing requirements. Passports must be valid for at least 6 months beyond return. Registry Travel is not liable for denied boarding or entry due to incomplete or incorrect documentation. Refer to travel.state.gov and cdc.gov for updated requirements.

9. Flight & Travel Details

  • Reconfirm flights 24–72 hours before departure.
  • Check-in: 2 hours for domestic, 3 hours for international flights.
  • Departure taxes may require cash at the airport.
  • Baggage: You are responsible for airline baggage rules and fees.

10. Liability & Assumption of Risk

You agree to release Registry Travel and its affiliates from liability for:

  • Supplier negligence or failure to deliver services
  • Delays, changes, or losses outside our control
  • Force majeure events, illness, injury, or missed connections

You acknowledge travel involves inherent risks and accept full responsibility for participation. You voluntarily waive claims against Registry Travel for travel-related incidents.

11. Medical Conditions & Disabilities

Notify us at booking if you have medical conditions or disabilities requiring accommodations. International accessibility standards may vary; travelers needing assistance should be accompanied by a companion.

12. Governing Law & Legal Disputes

This Agreement is governed by the laws of Washington State. All claims must be brought in Washington courts. You waive the right to a jury trial and participation in class actions. Written notice of claims must be submitted within 30 days of return or cancellation.

13. Severability

If any provision is invalid or unenforceable, remaining provisions remain in effect.

Effective Date: The date of your first payment or signed agreement with Registry Travel LLC.
